Neptune appreciates the trust you place in us when you ask us to help protect you and your assets.  You trust us with your private, personal information when you purchase insurance from us, and we are committed to protecting your privacy.  This Privacy Policy explains how Neptune collects, uses, shares, and safeguards your information.

Information We Collect

Depending on how you interact with Neptune and our services, we may collect your personal information directly from you, from your voluntary interactions with our website and services, from your insurance agent, and from other third parties such as service providers and partners.

  • Contact information you or your agent provide on quotes, applications, or other forms, such as your name, address, e-mail, and phone number
  • Information we obtain from your transactions with us, such as payment history, claims information, and coverage details
  • Information we receive from third parties, such as claims history with other insurance carriers, or industry data providers
  • Information we receive from your insurance agent or broker, such as updated information pertaining to your account
  • Internet/technical data (IP address, cookies, device data)

Information Collected from Neptune’s Websites

Neptune collects personal information (for example, your name, address, e-mail address, and phone number) on our website only when you or your insurance agent voluntarily provide it to us. When you simply browse our website without submitting information, we can identify your Internet domain but we do not collect your individual email address or other identifying information.  

Employees, Applicants, and Investors

We also process personal information of:

  • Employees and job/contractor applicants, in compliance with employment and labor laws
  • Whistleblowers, in compliance with Sarbanes-Oxley Act confidentiality protections

Sensitive Personal Information

Certain personal information we collect may constitute “Sensitive Personal Information” under applicable privacy laws, such as insurance policy numbers and login credentials. Neptune uses Sensitive Personal Information only as reasonably necessary to provide insurance services, comply with legal and regulatory obligations, prevent fraud, and ensure data security. We do not use Sensitive Personal Information for purposes beyond those permitted by law.

Independent Agents

The independent insurance agents authorized to sell Neptune products and services are not Neptune employees, but they are subject to strict confidentiality provisions and this Privacy Policy to the extent they sell or service our products. Because they have a unique business relationship with you, they may have additional personal information about you that Neptune does not. They may use this information differently than Neptune.  You should contact your independent agent to learn more about their privacy practices and policies.

We use security measures that comply with applicable laws to protect your information from unauthorized use.  These include encryption, firewalls, physical safeguards, and access controls to protect personal information that consider the nature of the personal information and the processing and the threats posed.  Our servers are located in the United States and are designed to prevent unauthorized access.

We also incorporate cybersecurity into our enterprise risk management program, overseen by our Board of Directors.

Response Timing and Format

To protect your privacy, we may take steps to verify your identity before fulfilling your request.  We endeavor to respond to a verifiable consumer request within the timelines required by law (generally 45 days of receipt, with possible extensions). If we require more time, we will inform you of the reason and extension period in writing.  Authorized agents may submit requests on your behalf where permitted.  We will deliver our written response to you electronically. 

Any disclosures we provide will only cover the 12-month period preceding the verifiable consumer request’s receipt.  The response we provide will also explain the reasons we cannot comply with a request, if applicable.  For data portability requests, we will select a format to provide your personal information that is readily useable and should allow you to transmit the information from one entity to another without hindrance.

We do not charge a fee to process or respond to your verifiable consumer request unless it is excessive, repetitive, or manifestly unfounded.  If we determine that the request warrants a fee, we will tell you why we made that decision and provide you with a cost estimate before completing your request.

International Users

If you are located outside the United States (e.g., in the EU/EEA or UK), we will process your data in accordance with GDPR and other applicable laws, including reliance on appropriate transfer mechanisms (e.g., Standard Contractual Clauses).

Data Breach & Incident Response

If a data breach occurs, we will notify affected individuals and relevant authorities in accordance with federal and state breach notification laws.

We will also disclose material cybersecurity incidents in accordance with U.S. Securities and Exchange Commission (“SEC”) reporting obligations.

Children’s Privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from them.
